Catering for Conferences: Food, Breaks and Costs per Head

A full day with a programme costs around 32 to 48 € per head net, a half day around 24 to 36 € and a day with dinner around 60 to 90 €. Coffee breaks alone sit at around 12 to 20 €. The five building blocks in detail: arrival coffee around 4 to 6 €, morning break around 4 to 7 €, a light lunch around 14 to 22 €, afternoon break around 4 to 7 € and drinks across the day around 4 to 8 €. For 40 people on a full day that adds up to around 1,640 €, so 41 € per head. A break needs 20 minutes when the coffee waits in the room next door, else 30 minutes. After a heavy plate, attention drops for around 45 minutes, so the lunch stays light.

1. Why the agenda drives the catering

A conference has a rhythm. The group works best in the first two hours. After that the curve drops, until coffee or food lifts it again. Catering for conferences hooks into those points.

The dip after lunch is the critical point. After a heavy plate with roast and dumplings, attention drops for around 45 minutes. A workshop in the afternoon then meets a tired group. A light lunch keeps the group on the topic.

The length of a break follows the distance. If the coffee waits in the room next door, 20 minutes are enough. If the counter sits two floors down, it takes 30 minutes. Every change of room costs around 10 minutes of programme with 40 people. Two such walks a day eat half an hour that the plan counts as working time.

That sets the order. First comes the agenda, then the food. A buffet at 12:00 does not fit when the talk runs until 12:40. Our business catering for companies shows how to plan food in the working day.

‍

2. The building blocks of a conference day

The day starts before the first word. Coffee, tea and water are ready from 08:30, plus fruit and a small pastry. This block costs around 4 to 6 € per head. It buys the group 15 minutes to arrive before the first talk starts.

The morning break comes after a good two hours of programme. It costs around 4 to 7 € per head and brings fresh coffee, water and something savoury. A break without food stays half a break, because the group then sits on in the room.

Lunch is the largest item at around 14 to 22 € per head. Bowls, boxes and finger food beat a plated menu with a heavy side. Our price comparison of buffet, menu and finger food shows how the formats differ.

The afternoon break catches the dip and costs around 4 to 7 € per head. Nuts, fruit and a slice of cake are enough. Drinks run across the whole day at around 4 to 8 € per head. Our article on drinks catering for companies shows which volumes are realistic.

The evening wrap is optional. A warm dinner or finger food while standing costs around 28 to 42 € per head. It pays off when guests travel far and the next day goes on. Without a wrap, the day ends cleanly with the last break.

‍

3. The conference day as a running order

Five stations carry the day. Once the times are set, the caterer plans delivery and set up around them. The agenda sets those times, not the kitchen.

Figure 1: the conference day as a running order, price per head net by station. At 08:30 arrival coffee around 4 to 6 €. At 10:45 morning break around 4 to 7 €. At 12:30 a light lunch around 14 to 22 €. At 15:00 afternoon break around 4 to 7 €. At 17:30 the evening wrap as an option around 28 to 42 €.

The morning break sits at 10:45. Lunch follows at 12:30 and runs 45 minutes, of which 15 minutes go to the service line. The afternoon break at 15:00 stays short, 15 minutes will do.

Delivery runs in two waves. Coffee and pastry arrive at 07:45, the lunch at 12:00. That way nothing sits warm for two hours and the hall stays clear until the break.

4. What a conference day costs per head

Four packages cover almost every conference. The difference sits in the number of meals, not in the quality of the goods.

Conference packages compared. price per head net by package.

Figure 2: conference packages, price per head net. Coffee breaks alone around 12 to 20 €, half day package around 24 to 36 €, full day package around 32 to 48 €, full day with dinner around 60 to 90 €.

The package for a full day sits below the sum of the single blocks. Delivery, set up and pick up fall on one date. Two separate runs on one day cost around 40 to 80 € extra.

An example for 40 people on a full day. Arrival coffee at 5 € makes 200 €, the morning break at 6 € makes 240 €, lunch at 18 € makes 720 €, the afternoon break at 6 € makes 240 € and the drinks at 6 € make 240 €. Together that is 1,640 € net, so 41 € per head. The sum covers food, drinks, delivery and the loan kit. Staff is not yet part of that count.

Staff is the item that is often missing. One service person for six hours costs around 200 to 260 €, and from 40 people up they pay for themselves. Our article on the costs of service staff works that through. Our overview of catering costs for companies places such a day in the frame for the year.

5. What a light lunch means in practice

Light does not mean little. Three to four parts per person are enough, plus a dressing to add by hand. Around 400 g per head is the target size, split across vegetables, some protein and a small base of rice or bulgur. A plate of roast with dumplings easily brings twice that weight and pulls the afternoon down.

Bowls and finger food have a second upside. They need no seat at a table. With 40 people that saves the reset of the hall and around 15 minutes of time. The hall stays as the talk needs it.

The share without meat sits at 50 percent. That meets demand and keeps the plate light. Two dishes with meat or fish are enough on top, clearly labelled with the details on allergens.

Drinks run all day. Around 1 litre of water per head and three cups of coffee are realistic, plus juice in the morning and tea in the afternoon. Small bottles hold the fizz better than open jugs.

In the afternoon, brain food counts. Nuts, dried fruit, dark chocolate and something salty cover around 4 to 7 € per head. Our article on ideas and formats for the team lunch shows which formats land well.

‍

6. Request and running plan

A good request holds five details: date and times, number of guests, room and floor, wishes on the food and the budget per head. With those points, a quote comes back that can be compared. If the floor is missing, the route for the trolley is missing later.

Three deadlines keep the process calm. The request goes out three to four weeks ahead, the firm number of guests five working days ahead, the last change 48 hours ahead. Good venues in large cities are booked out four to six months ahead.

Quotes only compare when food, drinks, staff and delivery are listed apart. Our checklist for comparing quotes sums up which items to check. For delivery in your own building, our corporate catering stands ready.

On site you need one person from the team as contact. They know the agenda, flag shifts and talk to the kitchen. If the talk runs 20 minutes over, lunch moves with it.

Conclusion

The conference day rests on five building blocks. Arrival coffee around 4 to 6 €, morning break around 4 to 7 €, lunch around 14 to 22 €, afternoon break around 4 to 7 € and drinks around 4 to 8 € per head. Costed as a package for the full day, that is around 32 to 48 €.

For 40 people the full day adds up to around 1,640 €, so 41 € per head. If lunch stays light, the group is still on the topic at 15:00 rather than on the coffee.
