Trade Fair Catering: Concepts, Stand Catering & Costs

A coffee bar at the stand costs around 4 to 8 € per head, finger food around 14 to 24 €, a stand lunch for the team around 16 to 28 € and a client dinner around 75 to 140 €. On the build-up day, around 8 to 14 € per head covers coffee and snacks. With catering, a talk at the stand runs around 8 to 12 minutes instead of 3 to 5 minutes. For three fair days, six people on the stand team and around 100 guests a day at the bar, the budget lands at around 3,470 €. Many fairs use their own caterer and charge around 10 to 20 percent on top for outside trade fair catering. Delivery runs through the fair logistics, usually in a slot of 60 to 90 minutes before the hall opens.

1. Why food at the stand drives dwell time

A fair stand lives on talks. Without a hook, a visitor moves on after 3 to 5 minutes. With a coffee in hand they stay around 8 to 12 minutes. That gets the talk past the first question.

The second effect sits with your own team. Six people stand there nine hours a day, three days in a row. Without a fixed break, the pitch drops off when the halls fill up. Stand catering holds the output across the fair.

Trade fair catering thus belongs in the stand plan. It is close to a conference, where coffee and lunch set the pace. Our article on the costs of conference catering shows how the formats are costed.

‍

2. The four concepts for stand catering

The coffee bar is the anchor. It draws visitors and needs little space. Two kinds of coffee, water and a soft drink are enough. Our article on drinks catering for companies shows how to set them up.

Finger food at the stand is the second step. Small portions in a glass or on a spoon are eaten standing, with no plate or cutlery. Our article on the question of what finger food is explains which bites count.

The stand lunch is the third step. It runs in two shifts, so the stand is never empty. Boxes and bowls beat a buffet, because each person takes a portion along.

The client dinner is the fourth step and the largest item. Ten to fourteen guests at one table beat forty short contacts in the hall. It sits on the second fair evening, while the day's talks stay fresh.

‍

3. What trade fair catering costs

The price per head follows the concept, the total the number of days and guests. Both are set early.

Trade fair catering: price per head by concept. net per person.

Figure 1: Trade fair catering, price per head, net. Coffee bar at the stand around 4 to 8 €, finger food around 14 to 24 €, stand lunch for the team around 16 to 28 €, client dinner around 75 to 140 €.

Finger food at the stand costs more than in the office, because delivery, cooling and top-ups come on top. The stand lunch sits higher than an office lunch, for the same reason. The client dinner follows the venue and the courses.

An example. Three fair days, six people on the stand team, around 100 guests a day at the coffee bar. At 6 € per head the bar costs around 600 € a day, so around 1,800 € across the fair.

The stand lunch at 22 € per head and day comes to around 400 € in total. A client dinner for twelve guests at 100 € per head brings 1,200 €, plus around 70 € on the build-up day. Together that is around 3,470 €. Our overview of catering costs for companies sets that against the year.

Three items push the price. Warm dishes cost more than cold, because gear and staff come on top. An order under 72 hours before the fair adds a surcharge at many providers. The wider frame is covered by our event catering for companies.

4. How the fair day runs

The fair day has four fixed points. Set them in advance and nothing is left to sort out on site.

The build-up day already counts. The team unpacks crates and eats alongside; around 8 to 14 € per head covers coffee, rolls and fruit. On the first fair morning the coffee bar starts, at around 4 to 8 € per head.

The stand lunch sits at midday, in two shifts of 30 minutes. Around 16 to 28 € per head and day covers it. Finger food fits the late afternoon, when the halls fill a second time, at around 14 to 24 € per head. After closing, the client dinner follows at around 75 to 140 € per head.

‍

5. Stand rules, logistics and hygiene

A fair ground runs on its own rules. Many fairs use their own caterer. Outside trade fair catering stays possible, yet costs around 10 to 20 percent on top as a fee to the venue. That figure belongs in the file before quotes come in, since it shifts the comparison. Our article on outside catering in event venues shows such a clause.

Delivery runs through the fair logistics. The slot usually sits 60 to 90 minutes before the hall opens, then the access road closes. Plan a second slot in the afternoon, or the top-up waits at the gate.

Cooling is the point where plans fail. Cold dishes need at most 7 degrees throughout, warm ones at least 65 degrees. A fridge under the counter carries the goods for around four hours.

Stand size sets the last limit. From around 20 sqm a counter with cooling and a sink fits, below that jugs and packed goods do. From around 40 sqm your own staff at the bar pays off, as our article on the costs of service staff shows.

‍

6. Organisation and enquiry

With concept, running order and budget the frame stands. Five details make any enquiry reliable: fair and hall, stand number and size, days and times, guests per day, and dietary needs.

Two deadlines keep the process calm. The sign-up with the caterer runs around four to six weeks ahead, the delivery slot around two weeks. Quotes compare only when fee, gear and staff are listed apart, as our checklist for comparing quotes sets out.

At the stand, one fixed person helps. They take the delivery, check the amount and hold the line to the hall. Without that role the goods land at the wrong stand.

Conclusion

Trade fair catering runs on four concepts. The coffee bar sits at around 4 to 8 € per head, finger food at around 14 to 24 €, the stand lunch at around 16 to 28 € and the client dinner at around 75 to 140 €. On the build-up day, around 8 to 14 € per head is enough.

The rest is logistics. Around 10 to 20 percent as a fee to the caterer of the fair, a slot of 60 to 90 minutes before opening, and a counter from around 20 sqm of stand space. Once this order is set for three days, it carries the next fair in the same venue.
