Christmas party for large teams (100+): logistics, venue and catering

1. What changes from 100 people
A Christmas party for large teams is not a small party made bigger. From 100 people the food no longer decides the evening, but the logistics do. Waiting time is the enemy. Every minute in the queue is missing from the talk at the table.
The first effect is the queue. One service line hands out about 150 portions per hour. With 150 guests and one line the last guest waits almost an hour. With 30 guests the same set up goes unnoticed.
The second effect is sound. From 100 guests no voice carries through the room. A speech without a mic does not reach the third row. High halls of concrete and glass turn voices into mush.
Then come routes, staff and lead time. Guests need clear routes to bar, buffet and toilet, so nothing piles up in one spot. The team for the evening grows from two to eight people. The room wants to be booked half a year ahead. For groups up to 30 people other rules apply, as our post on the Christmas party for small teams shows.
2. Venues for large groups
Three types carry 100 to 300 guests: the hall, the open event floor and the hotel with a ballroom. The hall is cheap and empty, all of it has to come in. The event floor brings light and sound with it. The hotel supplies kitchen, staff and rooms in one house.
The floor per person steers all the rest. For a standing reception you count 0.8 to 1.2 sq m per guest. With high tables and a buffet it is 1.2 to 1.5 sq m. At tables with chairs it is 1.5 to 2 sq m. For 150 guests at tables that means 225 to 300 sq m, without stage and buffet.
Cloakroom and toilets fall through at large parties. In December every guest brings a coat. One person at the cloakroom handles about 100 guests, or the queue stands before the first glass. For toilets you count one unit per 50 guests. Which room holds which size shows in our post on event venues in Berlin for 30, 50 and 100 people.
Arrival and the way home belong to the venue. A hall at the edge of town costs less rent and more taxi. From 100 guests a shuttle pays off. One bus holds 50 people and costs 400 to 700 € per run. Good venues in big cities are booked out four to six months ahead, which is why early access to the date also pays off on price.
3. Service concepts that stop queues
The concept of the food service is the strongest lever against waiting time. It costs little and works at once. The maths behind it is simple. One line handles about 150 portions per hour, and twice the number of lines halves the waiting time.

Figure 1: waiting time in the queue with 150 guests, by service concept, in minutes. One central buffet 30 minutes, double sided buffet 15 minutes, four themed stations 8 minutes, flying service 4 minutes, menu at the seat 2 minutes.
One central buffet with a single line is the most common pick and the slowest. 150 guests wait 30 minutes on average. The same amount of food set up double sided, with access from both sides, halves that to 15 minutes. The rebuild costs only tables and space.
Four themed stations in the room spread the guests across four points. The waiting time drops to 8 minutes, and the routes fill up instead of the corner at the buffet. Flying service turns the principle around. The food comes to the guest, the waiting time sits at 4 minutes per round, and it needs more staff.
The menu at the seat knows no queue. Two minutes after the start signal the first course is there. The price is higher, and the evening gets stiffer, because everyone stays seated. How the formats differ on price is costed in our post on formats and prices for Christmas party catering.
Request a Christmas party from 100 guests
- Number of lines at the food service in the offer
- Service staff with hours listed one by one
- Price per head gross for 100 to 300 guests
- Technology, set up and load out kept apart

4. What a large party costs per head
The frame for a Christmas party sits at 40 to 70 € gross per person for basic, 60 to 110 € for standard and 120 to 200 € for premium. These values cover the whole evening, so food, drinks, room and staff. Large groups sit in the lower part of every level.

Figure 2: price per person gross by level, for groups from 100 people. Basic 40 to 70 €, standard 60 to 110 €, premium 120 to 200 €. With size the price per head drops, the sum for the evening rises.
The reason for the lower edge are the fixed costs. Rent, travel and technology spread across many heads. 1,800 € of rent are 60 € per person with 30 guests and only 12 € with 150 guests. Buying also gets cheaper per portion. How the curve runs across guest count shows in our post on catering costs for 50, 100 and 200 people.
The sum for the evening goes the other way. An example for 150 people on the standard level: food at 38 € per head is 5,700 €. Drinks at 10 € per head are 1,500 €. The rent for the floor sits at 1,800 €, sound and light at 900 €.
Plus eight service staff for five hours each at 45 € per hour, so 1,800 €. In sum that is 11,700 € for the evening, thus 78 € per head gross. The party sits in the lower part of the window for standard. To the tax free limit of 110 € gross per person there is 32 € of room for decoration, music and a second round of drinks.
5. Staff, technology and timing
On staff there are clear values. At the buffet one service person carries 30 guests. With a menu at the seat it is 15 guests per person. At the bar one person per 50 guests is enough. For 150 guests at the buffet that is five people in service and three at the bar.
The rate per hour sits at 40 to 55 €, mostly with a minimum count of four hours. Set up and load out count in. What a provider really bills shows in our post on the cost of service staff in catering.
On sound, from 100 guests a system from the office is not enough. Two active speakers per 100 guests and a mic without a cable are the base. Speeches stay under five minutes, because standing guests do not listen longer. In high halls curtains or carpet help against the echo.
The timing needs fixed slots. The warm food stays open 60 minutes, after that quality drops. The service starts 90 minutes after the start at the latest, so nobody drinks on an empty stomach. For set up you count four hours before the start, for load out two hours after the close.
6. Planning and enquiry
Seven details make every enquiry comparable: date, number of guests, concept of the food service, budget per head, address of the venue, end time and number of guests with special food. For large parties the access comes on top, so lift, ramp or stairs. With these lines a caterer answers within two days.
Four points belong in the offer, not in a phone call: number of lines at the food service, number of service staff with hours, price for technology and deadline for a free cancellation. With the number of lines in writing, two offers can be compared cleanly.
The schedule is longer than for small groups. 26 weeks ahead the venue is set. 12 weeks ahead concept and menu are set. 4 weeks ahead technology and timing are fixed. 2 weeks ahead the firm number of guests goes out.
The full list sits in our checklist for the Christmas party. For the evening itself you can request fitting event catering for 100 guests and more in one go.
Large party without long queues
- Themed stations instead of one central buffet
- Date inside the window 28 November to 18 December
- Floor, cloakroom and access checked upfront

Conclusion
From 100 people the evening stands or falls with the food service. One central buffet costs 150 guests 30 minutes of waiting on average, a double sided set up 15 minutes, four themed stations 8 minutes. The rebuild costs almost nothing and gives every guest half an hour back.
On money, large parties sit in the lower part of the ranges. 150 people on the standard level reach 78 € per head gross with 11,700 €, against a tax free limit of 110 €. Floor, cloakroom and the number of lines at the food service therefore belong in the first mail to venue and caterer.
